Getting Started With A Virtual Assistant

We'll take you through a step by step guide so you know exactly how it works.

1.  How Things Are Currently Done 

To enable us to fully understand your business, and how it works, we will need to ask a number of questions, such as, the customers you serve, the products or services you provide, and the systems and processes you have in place.  From there we will work together to find out what your working day actually looks like, what causes you the most headaches, or is the most time consuming, and any areas that you either cannot do, or would rather someone else took over for you.  After this, we will then be in the best position to develop a proposal, and work with you to decide what plan would suit you best, to achieve your goals, and give you the level of support you need.

2.  Formalising the Arrangement

Once you are happy with what we are proposing, you will be assigned a dedicated Assistant and we will then put together a customised job description of the tasks that your Assistant will be completing for you.  This will give you both a better understanding of the expectations.  From here, we will agree on the monthly plan that best suits, and will then provide you with our Terms and Conditions for signature.

3.  Lets get things moving

As with all great relationships, good communication is key, and this part of the process is very important, as it is where you will have a full handover with your Assistant, and the time that a few new things may need to be set up.  Don't worry, we will make sure that everything runs smoothly.

4. Checking In and Keeping on Target

You and your Assistant will decide on how you want to communicate, and how often.  Whilst your Assistant is highly skilled and very adept at learning new applications and processes, maintaining communication builds up trust and lessens the risks of mistakes in the initial bedding in phase.  Your Assistant will track their time through a time tracking tool, and will ensure that they keep in touch with you throughout the month to keep you informed of what they have been working on, and the hours that have been used.  Invoices are sent out on the first of the month and a detailed breakdown of the hours worked at the end of the month.  Our goal is to have you seeing results as quickly as possible, so that you can then focus your energies on what you do best.
