Why should I use a Virtual Assistant?
When you employ a Virtual Assistant from Mighty Fine Assistant you have the opportunity to work solely with them, and build a relationship, but also have access to our other team members and their individual skill bases, whether it be creative, administrative or bookkeeping, they can assist you in all these areas.  You also do not have to be worried about HR issues, as these are dealt with by the company, and the work that is done and charged for, is 100% productive.   

What hours will my Virtual Assistant be available?
Our office hours are 9am - 5pm Monday to Friday. We are closed on all NZ public holidays. Your Virtual Assistant may be able to be available outside these hours, but this would be subject to availability and would incur a further fee.

How do you keep my information confidential and secure?
We use the password manager LastPass to store passwords and codes. Our Virtual Assistants access only encrypted versions of your passwords and never see or access your original passwords. Their access can be revoked at any time.

Remote Control: We have software that allows us to see the location of all our laptops and mobile devices on a map and gives us the ability to wipe the laptop  or mobile device with the touch of a button.

File Access: Using Microsoft's SharePoint we use Groups to restrict access to files to only the Virtual Assistants authorised and again this is centrally controlled and can be revoked at any time.

Employee Vetting: We complete criminal conviction checks on all of our team.

Non-Disclosure Agreements: We can sign a non-disclosure agreement at your request.

Laptop Access: All of our laptops have security passwords to access. 

What systems does my Virtual Assistant use?
All our Virtual Assistants are skilled in Microsoft Office 365 and G Suite. Additionally each have areas of specialised skills. When you have one virtual assistant you additionally have access to the knowledge and skill base of our entire team. If there is a tool or system required all of our virtual assistants have the sound ability to learn it. 

Can my Virtual Assistant make and receive calls for me?
Yes, of course.  Depending on your requirements, we can tailor a plan for you.

Can my Virtual Assistant buy things on my behalf?
Yes. We can take down your credit card details over the phone and make purchases for you. Security of information is paramount to us and we use tools such as LastPass to ensure this. 

What if I need a task completed that my Virtual Assistant can't do?
Your virtual assistant has the backing of our entire team, all with various specialty skills. Your virtual assistant will project manage the task and have it completed by the best person on the team. 

What happens if my Virtual Assistant is sick or on leave?
Because our Virtual Assistants work as a team, we train a backup virtual assistant who will be ready and able to undertake your tasks should your dedicated Virtual Assistant be absent. If your Virtual Assistant is away, we will arrange the backup assistant for you so that you have uninterrupted service. 

When do I pay for my hours?
Monthly plans are invoiced in advance on the 1st of each month and are due for payment on the 7th of the month. Casual hours are purchased as prepaid packs and work begins once payment has been received. 

What happens to my unused hours?
Casual hours are purchased in prepaid packs and these are valid for 6 months from purchase. Monthly plans are subscription based and allow you to have a dedicated virtual assistant available to you within our office hours along with a preferential rate. Hours do not roll over to the next month. In our initial handover session with you we agree on non-urgent projects that can be undertaken when monthly hours are available to be used. This is how we endeavour to use all monthly hours on the off chance you have a quiet month.

What happens if I need more time than my plan allows?
Additional hours can be purchased at your monthly plan rate. These are billed at the end of the month. Your Virtual Assistant will arrange approval of additional hours prior to using them.

What if it things aren’t working out?
Our aim is to provide you with a service that you are completely happy with, however, there are times that things may not work out with your virtual assistant.  If this is the case, we can arrange for you to be looked after by another of our team members who may be a better fit. 

If you do however decide that you wish to terminate our service, for whatever reason, we thank you for choosing us, and giving us the opportunity of working with you.  We will ensure that we provide you with any documentation that belongs to you, along with information compiled by Mighty Fine Assistant, that contains all of your preferences, which you can then hand on to your next employee.

We do however require at least one month's notice, so you'll receive one more invoice after we've received your notification.
